The French version of this document prevails in case of discrepancy.
This policy explains how Hands of Gold Massage Therapy Clinic (“the Clinic”, “we”) collects, uses, discloses, retains and protects your personal information, in accordance with Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and applicable federal law (PIPEDA).
1. Person in charge of personal information
The person in charge of the protection of personal information is Olena Suder. For questions, access requests or complaints: handsofgoldclinic@gmail.com — +1 (819) 962-0733.
2. Information we collect
We only collect what is needed for the purposes described:
- Contact and appointments: name, phone, email, appointment history (through our online booking tool).
- Health information: health intake form, contraindications, injuries, treatment notes — needed to provide a safe massage.
- Insurance and billing: information required to issue your insurance receipts.
- Communications: messages you send us by email, text or social media.
- Website browsing: technical data (device type, pages viewed) and, only if you agree, advertising measurement cookies (Meta Pixel).
3. Why we use it
- To schedule and confirm your appointments and send reminders.
- To assess your health and adapt treatment safely.
- To keep your client file and issue insurance receipts.
- To answer your questions.
- To measure our advertising, only with your consent.
We never sell your personal information.
4. Consent
By booking an appointment and completing the health form, you consent to the use of your information for the purposes above. Health information is sensitive: we ask for your express consent. You can withdraw consent at any time by writing to us, subject to legal retention obligations.
For a person under 14, consent is given by a parent or guardian.
5. Service providers and storage outside Quebec
We use a few providers who may process information on our behalf:
- Dikidi — online booking (contact details and appointments).
- Vercel — website hosting (technical browsing data).
- Meta Platforms — advertising measurement (only if you accept cookies).
- Google — email and business listing.
Some of these providers may store information outside Quebec. Before any transfer outside Quebec, we assess whether the information will be adequately protected, and we limit what is shared to what is strictly necessary. We may also share information with your insurer at your request, or when required by law.
6. Cookies
The site uses cookies that are essential to its operation (for example, to remember your cookie choice). Advertising measurement cookies (Meta Pixel) are only enabled after your consent, which you can change at any time with the “Cookie preferences” link at the bottom of every page.
7. Retention and security
Client files are kept for as long as needed for the purposes they were collected for and as required by applicable rules (generally at least 5 years after the last visit), then securely destroyed.
We take reasonable measures to protect your information: access limited to authorized people, password-protected accounts, paper files kept locked. If a confidentiality incident presents a risk of serious injury, we will notify the people concerned and the Commission d’accès à l’information.
8. Your rights
At any time, you can:
- access the information we hold about you and get a copy;
- ask us to correct inaccurate or incomplete information;
- withdraw your consent or ask us to stop disseminating your information;
- receive your information in a structured, commonly used technological format.
Write to us at handsofgoldclinic@gmail.com. We will respond within 30 days. If you are not satisfied with our response, you may contact the Commission d’accès à l’information du Québec (www.cai.gouv.qc.ca).
9. Changes
We may update this policy. The date of the last update appears at the top of this page.
